Who we are

Loadout (also trading as Loadout Marketing and Loadout Media) is a photo, video and marketing studio in Gauteng, South Africa. We are responsible for the personal information collected on loadoutm.com. Our Information Officer is Hein, the owner: [email protected], +27 83 608 1489.

What we collect and why

• When you send a message, request a quote or book a shoot: your name, email, phone number (if you give it) and what you tell us. We use it only to reply and to do the work you asked for.
• When you buy event photos: your email address and which photos you bought, so we can deliver your downloads and keep the records the law requires. Card payments are handled by Yoco on their own secure page — we never see or store your card details.
• When you sign up for new galleries: your email address and when you agreed. You only join after you tick the box and click the link in our confirmation email. We use it only to tell you about new event galleries.
• Event photos of you: we photograph public sports events. Galleries show watermarked previews so athletes can find and buy their photos. See "Photos of you" below.
• When you visit the site: we count visits with Cloudflare Web Analytics, which uses no cookies and does not track you across sites. To stop abuse (for example spam), your internet address is checked briefly and only kept as a scrambled code for a few minutes.

Cookies and your browser

We don't use cookies. The site keeps a few things in your own browser so it works — your photo picks, your order key for downloads and the services you selected. They stay on your device until you clear them.

Who helps us

We never sell your information. These companies process it for us, under their own data-protection terms:

• Cloudflare — hosts the website, its database and the private photo storage, and counts visits.
• Yoco — card payments in Rand.
• Resend — sends our emails (order confirmations, replies to sign-ups, and messages to us).

Some of them store or process information outside South Africa (for example in Europe or the United States). We only use providers that protect personal information to a standard comparable to POPIA.

How long we keep it

• Messages, quotes and bookings: up to 2 years after we last spoke, unless we are working together.
• Photo orders: 5 years, because tax law requires us to keep business records. Download links stop working after 30 days.
• Gallery sign-up: until you unsubscribe (every email has a link). Unconfirmed sign-ups are not used.

Photos of you

Don't want a photo of you in one of our galleries or on our website? Email us with the photo number or a screenshot and we will take it down — no questions asked.

Keeping it safe

The site only works over an encrypted connection (HTTPS). Full-resolution photos are kept in private storage and are only released through short-lived, signed download links after a confirmed payment. Only Loadout has access to the database.

Your rights

You can ask us what information we hold about you, ask us to correct or delete it, object to us using it, and withdraw your consent at any time (for example by unsubscribing). Email [email protected] and we'll respond as soon as we can.

If you're not happy with how we handled your information, you can complain to the Information Regulator of South Africa: inforegulator.org.za.

If we change this notice, we'll update the date at the top of this page.
